Job Summary:

The Office of Undergraduate Medical Education (UME) and Office of Student Life (OSL), which are divisions of the Office of Medical Education, is seeking a part-time Academic Services Professional (Entry to Intermediate) to fill the role of Badging and Events Coordinator. This role manages the daily administrative and operational tasks related to clinical site badging, credentialing, and event coordination for the Colorado Springs Longitudinal Integrated Clerkship (LIC) Program. It serves as the primary point of contact for student inquiries and oversees student access to clinical electronic medical record systems such as My Clinical Exchange and EPIC. Additionally, the position works closely with teams from the Anschutz Medical Campus (AMC) and Colorado Springs Branch (CSB) to organize CSB MD program events, including orientation and faculty development, while managing logistics, communications, and expense processing.

This position reports directly to the Office of Student Life Manager

Key Responsibilities:

Badging and Credentialing Coordination
  • Serve as the primary contact for Colorado Springs Branch (CSB) student badging and credentialing inquiries, ensuring compliance with partner site requirements.
  • Manage and oversee clinical badging processes, maintaining accurate documentation and adapting to site-specific credentialing procedures.
  • Develop and refine standard operating procedures (SOPs) to improve efficiency, communication, and training in badging processes.
  • Assist students with required paperwork and verify credentialing requests to ensure site security and compliance.
  • Student Clinical Account & Systems Access Management
  • Act as the primary program contact for students needing to access My Clinical Exchange (MCE) and related stakeholders for CSB student placements.
  • Coordinate and manage student access requests for My Clinical Exchange, EPIC (patient records), and other Electronic Medical Record (EMR) systems used in hospitals and clinics.
  • Event Coordination & Support
  • Collaborate with the CSB Dean to plan and execute program events, including orientation, faculty development, and student activities.
  • Manage event logistics, including venue reservations, coordination with facilities, and communication with relevant departments.
  • Oversee event expenses by preparing Official Function Forms, processing expense reports, and tracking purchases.
  • Provide on-site event support, including material preparation, proofreading communications, and managing invitations and RSVPs.
  • Additional Responsibilities
  • Perform other duties as assigned to support CSB badging and event coordination.
  • Participate in professional development opportunities to enhance skills and knowledge in the role.

Work Location:

Hybrid - this role is eligible for a hybrid schedule of 2 days per week on campus and as needed for in-person meetings. Additional on-site days may be required as needed. Please see the campus-wide policy for additional information.

While the primary work location is Aurora, CO, any required travel to branch campuses is eligible for mileage reimbursement per University of Colorado policy.

Qualifications:

Minimum Qualifications:

Entry:
  • A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, or a related field from an accredited institution

Intermediate:
  • A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, or a related field from an accredited institution
  • One year of professional experience in an administrative role.

A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:
  • Experience in administrative support, preferably in a healthcare, higher education, or credentialing environment.
  • Experience providing logistical support for events, meetings, retreats, special programs, etc.
  • Experience providing customer service in a high-volume environment.

Knowledge, Skills and Abilities:
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Ability to learn new software programs, tools, and quickly. Knowledge of electronic medical record (EMR) systems or credentialing software, such as My Clinical Exchange a plus but not required.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Strong organizational skills with the ability to manage multiple projects and tasks simultaneously.
  • Strong written and verbal communication skills, with the ability to clearly communicate procedures and requirements to students, staff, and additional stakeholders.
  • Excellent customer service skills and ability to assist students with diverse needs.
  • Strong attention to detail and accuracy, particularly for handling documentation and sensitive information.
  • Effective time management skills to balance multiple tasks and prioritize under deadlines.
  • Adaptability and problem-solving skills to handle unexpected changes or challenges

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established at the following ranges equivalent to 0.50 FTE.

Entry: $22,508.50 - $28,631.00

Intermediate: $24,494.50 - $31,157.00

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
