The Institutional Advancement (IA) team at St. Catherine University invites applications for a full-time Executive Assistant position.
The position supports the Senior Vice President (SVP) of Institutional Advancement, the Vice President (VP) of DAR, and the Director of Campaign Operations. In all cases this calls for high volume interactions with philanthropists, consultants, and University leadership. The position also supports team initiatives and projects and manages a variety of tasks of varying priority levels and timelines at any given time.
Responsibilities:
- Stakeholder & donor - coordinating with donors and external partners on everything from scheduling to finalizing agreements. Proactively works with partners to ensure continued progress on projects and external engagement, based on directives from SVP.
- BOT committee administrative functions.
- Proactively outreach on behalf of SVP to external partners.
- Data tracking and analysis to keep MGOs on track with donor appointments, gift administration and ROI.
- Ensuring SVP is prepared for all meetings with all necessary materials.
- Drafting and editing communication on behalf of SVP.
- Problem solving and preventing issues from reaching SVPs desk.
- Anticipating needs
- Tracking and reminding all of leadership on decided upon deliverables that keep all accountable for swift project success and progress.
- Candidate assessment and tracking for new hires.
- Onboarding new employees.
- Manage office and equipment requests for new employees.
- Create and document systems to improve the functionality of office of Institutional Advancement (IA).
- Track and enter contact reports for SVP/CAO and VP of DAR to ensure adequate records are kept on donor interactions.
- Order supplies, manage supply inventory.
- Process payment requests
- Serve as point of contact for IA staff with inquiries
- Establish objectives, manage time appropriately, gain cooperation of others and problem solve as needed.
- Schedule and coordinate events and meeting logistics, internal and external, telephone calls and travel.
- Prepare for multiple regular and one-off meetings, record, transcribe, and distribute minutes, summarize meeting feedback and proofread documents.
- Support Prospect Research.
- Creating reports.
- Drafting of gift agreements (ranging from $10,000-$2M).
- Event planning and preparation.
- Preparing meeting books for BOT committee meetings by compiling materials from multiple sources.
- Assigning work to Advancement Operations and following up to make sure it's completed on deadline.
Salary Range: $43,604-55,504

The salary range listed reflects a good-faith estimate of what we reasonably anticipate to pay for this position, based on market data and internal equity, at the time of posting. Actual compensation will be determined based on qualifications, experience, skills, and other relevant factors. St. Catherine reserves the right to modify or adjust compensation depending on University needs.

Minimum Qualifications:
- High School Diploma or GED
- 4 years of experience in an administrative support role
- Experience working with Microsoft Office suite, Google suite, data entry data reporting
Preferred Qualifications:
- Bachelor's degree in a related field
- Experience with CRM Tool (Customer Resource Management) Advance or other advancement database
