Job Description Summary


This position will be assigned to the San Luis Obispo campus. The preferred schedule for the selected candidate is Monday to Friday, 8:00 am to 5:00 pm.

DEFINITION

Under general supervision, perform a variety of receptionist, clerical and data entry work and operate the main campus phone contact.

DISTINGUISHING CHARACTERISTICS

An incumbent in this position will perform a variety of responsible, clerical work in support of the college's administrators and confidential employees.

The incumbent will be the primary point of contact for telephone inquiries and visitors. Incumbents in this position support student learning outcomes and institutional effectiveness by serving as the first point of contact for the public and providing support for the administrator and confidential employees.

Serving all of San Luis Obispo County, Cuesta College has provided comprehensive associate degree offerings, certificates, and community programs to the region since 1964. The main campus is located along scenic Highway 1, west of San Luis Obispo and east of the beaches of the Pacific Ocean. Cuesta College has a North County Campus in Paso Robles, and South County Center, in Arroyo Grande.

Essential Functions & Qualifications


ESSENTIAL FUNCTIONS

  • Answer the main phone line, direct calls and visitors to appropriate personnel;
  • Greet office and building visitors with courtesy and tact;
  • Front desk reception to the Administrative Offices;
  • Perform complex office support work for the administrators and confidential employees;
  • Maintain directory of college employees;
  • Provide information about general college services;
  • Assist with scheduling, preparing, and facilitating interviews, events, and meetings;
  • Operate standard office equipment;
  • Utilize the District's integrated software in performing the required duties of this position;
  • Receive, and distribute mail and deliveries as appropriate;
  • Process employee name badge orders, procurement tracking, and delivery of badges;
  • Update and maintain institutional organizational chart;
  • Process invoices, purchase orders, and Cal Card reconciliation;
  • Index confidential documents into electronic record system; and
  • Perform other related duties as required.


QUALIFICATIONS

Education:

Required
  • Graduation from high school.


Preferred
  • Associate degree.


Experience:

Required
  • Answering phones in an educational, business, or professional setting;
  • Customer service; and
  • Office operations.
Preferred
  • Three years of increasingly responsible clerical/receptionist experience.


Knowledge of:
  • Exceptional customer service delivery techniques;
  • Organization and function of an educational institution;
  • Receptionist and telephone etiquette and techniques;
  • Records keeping practices and procedures;
  • Office methods and practices including filing systems;
  • Current technologies, personal computer, and associated office software such as word processing, spreadsheet, presentation, and/or database software;
  • Correct usage of English, grammar, spelling, punctuation, and vocabulary; and
  • District policies and procedures.


Ability to:
  • Maintain a welcoming demeanor and positive tone while interacting with others;
  • Organize information, workload, and establish priorities to complete assigned work with general supervision and within established timelines;
  • Establish and maintain cooperative working relationships with those contacted in the performance of duties; and
  • Demonstrate a sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students.


Physical ability to:
  • Read and comprehend printed matter and text and data on computer monitors;
  • Communicate intelligibly and effectively via speech, telephone, written correspondence, and/or email;
  • Sit or stand for extended periods of time;
  • Lift and/or carry 15 pounds; and
  • Exert manual dexterity sufficient for keyboard and other office equipment operation.

SALARY SCHEDULE

Below is the full salary schedule range for this position, steps A through E. Per Cuesta College's policies, new employees are placed at Steps A through C, which is the anticipated hiring range also listed below.   • Salary Schedule Range: $4,045 - $4,917 per month.
  • Anticipated Hiring Range: $4,045 - $4,460 per month.
