Job Description:
The Administrative Assistant II will manage the day-to-day administrative operations for the Associate Vice President & Dean of Students including scheduling, internal and external communication, and related executive-level support. Represent Dean of Students to internal and external constituents exercising independent judgement and appropriate discretion on sensitive student matters of significant importance that impact multiple areas. Oversee complex projects maintaining a comprehensive and detailed understanding of best practices in project management. Prepare agenda, minutes and supplemental materials/handouts for meetings/workshops and assigned committees; coordinate logistics for meetings and events. Assist with day-to-day administrative operations for the Dean of Students Team using tact when needed, discretion, and exercising independent judgment.
Qualifications:
- Bachelors Degree required plus 5-8 years of work experience preferably in an academic environment.
- Demonstrated experience managing complex calendar and travel arrangements; ability to schedule, organize, and manage a wide variety of meetings and events.
- Outstanding level of professionalism in providing administrative assistance, including ability to exercise independent judgment, discretion, initiative, tact and diplomacy in handling highly sensitive matters and maintaining strict confidentiality.
- Ability to accurately interpret University protocols, policies and procedures, as well as state and local laws, to communicate clearly and logically on behalf of the Dean of Students.
- Proven ability to multi task, prioritize, and meet a variety of intermediate and final deadlines that carry a high consequence of error, while effectively managing frequent interruptions and/or changing priorities.
Job Specific Qualifications:
- Superior interpersonal skills including courtesy, professionalism and cooperative attitude.
- Demonstrated experience communicating effectively in person, on the telephone and in writing to a diverse population.
- Strong computer skills with knowledge of databases, word processing, spreadsheets, email, video conferencing and University enterprise applications; PeopleSoft experience a plus.
- Thorough mastery of English grammar, punctuation, and spelling including proofreading and proper formatting for composing/editing documents.
- Strong analytical skills to recognize problems, make recommendations and, in many cases, independently resolve and implement solutions and evaluate results and progress.
- Proven ability to conduct research and analyze various documents to compile reports. Ability to assimilate a wide range of information in order to provide timely, accurate information to others.
- Ability to investigate, analyze, and compile financial and budgetary data and to develop, evaluate and implement budget recommendations.
- Willingness and ability to meet University and department standards for attendance. Executive business hours required, including nights and weekends.
Responsibilities:
- Provide executive level and comprehensive administrative support and assistance to the Associate Vice President & Dean of Students.
- Proactively manage the Dean of Students schedule, coordinate calendar and meeting, make travel arrangements.
- Compose and edit correspondence for the Dean of Students organize and maintain all electronic and paper files.
- Prepare agendas and materials for meetings. Prepare reports/communications for relevant meetings and follow-up actions.
- Record minutes at meetings. Perform credit card reconciliation and monitor budget expenditures; initiate purchasing.
- Engage with internal constituents at all levels of the University to address questions and resolve concerns.
- Represent the Associate Vice President & Dean of Students in interactions with senior and executive University offices.
- Manage projects for the Dean of Students and direct reports.
- Develop project management plans with appropriate milestones and deadlines.
- Conduct research on best practices in student affairs; summarize findings.
- Prioritize tasks and projects to ensure deadlines are met. Maintain an organized system of tracking and monitoring progress on projects and requests to ensure deadlines are met.
- Evaluate and resolve issues and problems, which are often sensitive and confidential, independently, where applicable, consulting with the Dean of Students as necessary. Liaise with internal and external constituents, as needed.
- Serve as first point of contact for the Dean of Students for external constituencies. Serve as the initial point of contact and liaison with external constituencies.
- Work with students, faculty, staff, and parents to resolve questions, concerns, and problems Support University and divisional communications efforts during periods of peak demand.
- Assist with day-to-day administrative operations for the Dean of Students Team using tact, discretion, and exercising independent judgment.
- Supervise student employees, as needed.
- Plan events for the Student Experience and Dean of Students areas including staff retreats, student leadership retreats, staff appreciation events, and other gatherings.
- Serve as events coordinator and point of contact for venue. Manage all 1 event logistics including venue selection, transportation, lodging, food, technology and other needs. Develop agenda/itinerary for event, and manage communication with guests.
- Other duties as assigned.
