Must possess a valid driver's license issued by the State where the applicant resides and must be insurable as defined in the UT System UTS 157, as applicable to the performance of essential duties and responsibilities of the position.

Purpose of Position

Assists in the planning, coordinating, and execution of university events. Keeps official records and executes administrative policies determined by or in conjunction with other officials, within the area of assigned responsibility.

Essential Functions

Manage all aspects of event planning, meet strict deadlines, and stay within budget; develop marketing tools and strategies with regard to events.

Nurture and build relationships with vendors, venues, and other industry contacts while crafting and implementing the creative and logistical aspects of events.

Coordinate with team members, clients, and vendors to establish the requirements for an event, and serve as liaison to supervisor, officials, and leaders throughout the planning process.

Remain current (or ahead of the curve) with trends in event planning, design, and production, and proactively identify and solve operational challenges.

Coordinate daily activities for the office of University Events. A flair for the creative and good color sense is required.

Maintain a high degree of confidentiality on all sensitive information this position is privy to.

Oversee and administer the creation of internal and external purchasing documentation using institutional programs, processes, and procedures. Maintain adequate inventory of event supplies for the department.

Knowledge of all Microsoft Office software and able to learn and use institutional software systems. Survey, graphic programs, and design training is a plus.

Multi-task and problem solving is essential. May require working on weekends and extended 8-hour workdays, and holidays. Attendance at all events produced is required.

Complies with all State and University policies.

Other duties may be assigned.

Required Qualifications

Minimum Education required: Bachelor's Degree

Minimum Experience required: Two (2) years of related experiences and/or training to the essential duties and responsibilities; or equivalent combination of education and experience. Occasional traveling required.

Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.

While performing the duties of this job, the employee will be required to stand, walk, sit, and lift. The employee is frequently required to use hands and feet to feel; reach with hands and arms, talk, hear. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision and depth perception. The employee is occasionally required to lift and move up to 30 pounds.
