Job Summary:
Bucknell University's Freeman College of Management is seeking an Academic Assistant. The Academic Assistant supports academic departments by managing administrative functions essential to operations and oversees tasks such as budgeting, purchasing, and expense tracking while ensuring timely updates to course schedules and catalogs. This role provides logistical support for events, meetings, and projects, and serves as a liaison between faculty, students, and external partners, addressing inquiries and maintaining clear communication. The Academic Assistant manages sensitive and confidential information and ensures compliance with institutional policies. They may supervise student workers and coordinate hiring processes for faculty and staff roles. Reporting to the department chairs, this position is a full-time, 35 hours/week, benefits-eligible, non-exempt staff position.
Job Duties:
Essential Functions
- Provides comprehensive administrative support to faculty, staff, and students, including managing correspondence, preparing documents, and coordinating schedules.
- Executes departmental events, meetings, and special projects. Handles logistics, communication, and follow-up to ensure successful execution.
- Maintains departmental budgets, processes purchase orders, tracks expenditures, and reconciles accounts to ensure financial accuracy and adherence to guidelines.
- Updates course schedules, manages catalog changes, and collaborates with faculty and the registrar's office to ensure timely and accurate publication.
- Serves as a resource for students and faculty by addressing inquiries, coordinating student hires, and supporting departmental activities and goals.
- Maintains sensitive and confidential records related to students, faculty, and departmental activities while ensuring compliance with institutional policies.

Knowledge, Skills & Abilities
- Demonstrates Analytical and Critical Thinking Skills
- Ability to coordinate and administer program/project activities and protocols, manage resources, monitor activities and assess risks and quality issues associated with the program/project.
- Strong Written and Oral Communication Skills
- Ability to use Microsoft Office and/or Google Suite. Skilled in utilizing basic databases and software.
Minimum Qualifications
- High School Diploma or GED
- 2 years Professional Experience
Preferred Qualifications
- Associate's degree or equivalent, Business Administration or related field
- 4 years Professional Experience
- Administrative Experience in Higher Education

- Standard Office Environment Requirements
- Must be able to move about the office to operate office equipment
- Ability to operate computer for extended periods of time
- Ability to communicate accurate information and ideas so that others will understand.

The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.
This role is not budgeted for visa sponsorship at this time, all candidates must be authorized to work in the US at the time of submission of the application.
