Primary Duties and Responsibilities:
Within Colleague and Astra, the campus scheduling specialist is responsible for the accurate input of course sections (credit and non-credit) (including clock hours, section meeting days/times, capacity, comments, meetings exceptions, restrictions etc.) for all academic areas within the College.

  • Administer additions and changes, within Colleague and ASTRA for centralized scheduling for all course sections.
  • Administer cancellations within Colleague and ASTRA and notify all involved participants of the cancellations.
  • Ensure the scheduling template, ICCB guidelines and college policies are adhered to.
  • Review all course section information (i.e. dates, rules, etc.) for accuracy before registration begins.
  • Review section capacities to ensure they match room capacities before registration begins.
  • Create standard reports in Colleague and ASTRA as requested.
  • Schedule internal events in ASTRA.
  • Process changes in Colleague as required to implement changes in college policy (i.e. waitlist, withdrawal date, etc.)
  • Serve as liaison with event contact person and custodial operations regarding event set-ups.
  • Other related duties as assigned.


  • Qualifications:

    • Education
      • High school graduate and some college experience required.
      • Associate's degree in CIS, Office Technology or related field preferred.
    • Experience
      • Two (2) years experience in an office support position or equivalent combination of training and experience required.
      • Excellent typing and accuracy skills within computer systems required.
      • Must be detail oriented and able to analyze data and check for accuracy.
      • Experience in different scheduling systems and 4-5 years experience in an office environment preferred.


    Working Conditions:

  • PC with printer, telephone, copier, FAX machine, IBM mainframe, CRT.
  • Curriculum & Centralized Scheduling Office (CCSO) hours are Monday through Friday, 8:30 A.M. to 5:00 P.M. working a 40 hour week within those hours.
  • It is an office setting, not physically taxing.
  • Considerable contact with other college departments that involve work interruptions during peak periods.
  • Walk-in and telephone work--must be able to comprehend and communicate well.
  • Skills requiring extensive data entry, keyboarding/typing, filing in 5 ft. high vertical filing cabinets, and operation of office equipment necessary.
  • This position requires a background check and drug screen.

    Hiring Range:
    Starting pay begins at $21.70/hour based on experience

    Competitive starting pay is dependent on education and experience.
