Overview
In collaboration with Financial Aid team members, position is responsible for assisting in the administration of Title IV, State of Wisconsin financial aid programs, and alternative student loans. Position responsible for the College's compliance with Federal Satisfactory Academic Progress (SAP) regulations by monitoring student progress and informing related institutional policy and procedures. Position is primary administrator of Federal Campus-Based Funds programs, including Federal Work Study (FWS) and the Supplemental Educational Opportunity Grant (SEOG). Position will provide front-line student support and support other areas of the college and community outreach on topics related to financial aid. Professional development, including conference attendance, may be required.

Responsibilities
Provide front-line student support to Financial Aid and college outreach and community support efforts.
    1. Assist students in completion of forms, applications, and processes. Explain requirements and restrictions associated with flex education programs.
    2. Assist other departments with events for prospective and current students throughout each semester.
    3. Present financial aid and financial literacy information to current and prospective students within the College and the district.
    4. Process letters and emails in coordination with others within the Financial Aid Department.
    5. Provide back-up of financial aid duties within financial aid department.


Process and administer federal and state financial aid programs in a manner compliant with all applicable regulations, guidance, policies, and procedures.
    1. Review National Student Loan Data System (NSLDS) Transfer Monitoring Alerts and Financial Aid History files to ensure that students are not awarded Title IV aid in excess of annual or aggregate limits, adjust awards and notify affected students of changes.
    2. Elevate to Financial Aid Manager when Pell Multiple Reporting Records and Duplicate Loan reports are received.
    3. Monitor Daily Withdrawal and Non-Attendance reports and adjust Pell Grant amounts based on changes in student attendance and enrollment.
    4. Review and update enrollment status of students in programs and courses subject to clock-to-credit hour conversion. Ensure that financial aid eligibility is accurately calculated based on the conversion.
    5. Review and process additional unsubsidized loan requests.
    6. Review, certify, and release disbursements of approved third-party private alternative loans.


Ensure that all Title IV recipients adhere to Satisfactory Academic Progress (SAP) requirements.
    1. Monitor students' academic progress and certify that all financial aid recipients comply with SAP standards as defined by federal regulations and College policy.
    2. Complete the Banner SAP process after grades have been posted. Communicate with students who are subject to financial aid suspension and financial aid status warnings.
    3. Facilitate SAP appeal outcomes process related to student financial aid eligibility. In coordination with cross-functional area SAP committee, review student SAP appeals and coordinate the creation of SAP academic plans when required. Notify students of appeal outcomes.
    4. Coordinate with academic advisors to monitor students' adherence to SAP academic plans.


Oversee Federal Supplemental Educational Opportunity Grant (FSEOG) and Federal Work Study (FWS) utilization.
    1. Calculate student FWS eligibility and update awards in Banner. Ensure that all FWS forms in Banner are accurate and kept current.
    2. Reconcile payroll records in Banner, ensure that students are not over awarded or overpaid based on determined eligibility. Ensure that students only work within the authorized Federal Work-Study (FWS) employment period and do not begin or continue working outside of these dates.
    3. Collaborate with HR Assistant to ensure all necessary paperwork is completed to facilitate Work Study fund distribution through Payroll. Ensure work study student understands how to submit hours within Banner Self-Service.
    4. Reallocate Campus-Based Funds as necessary and to the extent permitted to ensure maximum utilization of resources.
    5. Coordinate with supervisors to determine FWS allocation and availability for requested positions.
    6. Establish and maintain partnerships with off-campus FWS employers and community service organizations.
    7. Assist Financial Aid Manager in completion of annual Fiscal Operations Report and Application to Participate (FISAP) by maintaining and providing accurate expenditure data for FWS program.


Qualifications
Knowledge, Skills & Abilities:
  1. Strong computer knowledge including Microsoft Office Suite.
  2. Excellent experience working in Banner or other enterprise system.
  3. Ability to read, understand and interpret organizational policies and procedures, government agency regulations/guidelines, financial aid guidelines, and other technical documents/publications.
  4. Good verbal communication and listening skills with the ability to communicate facts, explain procedures and answer questions from managers, staff, students, and the public.
  5. Aptitude to make oral presentations to small groups and respond to questions from the audience.
  6. Ability to interact with diverse populations.


Education & Experience:
  1. Bachelor's degree in business or related field or an equivalent combination of education and experience.
  2. Two (2) years of work experience in financial aid administration.
