Job Description:

FUNCTION AND SCOPE
Under the direction of the Research Foundation President, the Executive Administrator serves as a manager in the day to day operation of the President’s office at the Research Foundation. In this role, the incumbent is responsible for the scheduling, and management of the daily activities of the President’s Office. This person will also work in support of an executive leadership team that is collaborative, yet independent in their functional responsibilities. The Executive Administrator will hold calendaring meetings, and ensure the President is prepared for all events, meetings, speaking engagements, etc. The nature of the position is highly confidential.

DUTIES AND RESPONSIBILITIES
• Manage the overall operations and effectiveness of the President’s Office and President’s Council.
• Interacts with RF President’s Council in support of the RF’s strategic goals.
• Work with President to set President’s Council agenda, take notes, and follow-up on action items.
• Working with the Director of External Relations, the incumbent will draft talking points for presentations to both internal and external constituents, corporate partners, and other key stakeholders. The incumbent will take the lead of preparing presentations when requested by the President.
• Gather and compile information for the President, conduct special studies, and prepare executive reports.
• Serves as the Presidential liaison to the office of the SUNY Chancellor, campus presidents, and other stakeholders in coordination with the RF team leaders.
• Coordinate, and compile input to meet directives from the President.
• Track and monitor deadlines.
• Draft and sign correspondence on behalf of the President.
• Collaborate with all RF functional areas, especially External Relations, in ensuring that the President is fully informed on public relation matters. Set President office protocols, procedures, and structure. Evaluate and implement organizational best practices.
• Within the Executive Office, provide a broad range of sound suggestions and recommendations to assist the President.
• Resolve operational problems.
• Provide innovative recommendations and course adjustments.
• Manage highly sensitive and proprietary staffing, budgetary, and program issues.
• Prepare executive agenda and provide executive planning services.
• Evaluate the President’s office operating practices and makes recommendation as appropriate.
• Other duties and special projects as assigned.

Requirements:

SKILLS/EDUCATION
Requires a bachelor's degree plus a minimum of three (3) years of progressively responsible and relevant experience in direct support of senior executives. An appropriate combination of education and experience may be substituted.

This position requires excellent written and verbal communication skills and organizational skills. Strong knowledge and experience with Microsoft Office. Strong attention to detail. The incumbent must possess a high level of confidentiality, proficiency and accuracy in all duties. Must be comfortable working in a fast paced environment and able to adapt well to priority changes. Ability to prioritize workflow and complete multiple tasks simultaneously and accurately.
